Porchlight ("Porchlight", "we", "us") provides software that homeowner and property owner associations ("communities") use to run their board work: dues, communications, calendars, amenity bookings, documents, votes and financial reporting. This policy explains what we collect, why, and how it is protected. It applies to porchlightpoa.com and every community portal we host.
Community records. Boards load and maintain records about their homeowners: names, property addresses, lot numbers, email addresses, phone numbers, ownership dates, dues balances and payment history, amenity access (key cards), support requests, votes cast, and documents. This information belongs to the community; Porchlight processes it on the community's behalf.
Account and usage data. When you sign in we record your email address, the community you belong to, sign-in times, and the actions you take in the software (an audit trail the board can review). We use passwordless sign-in links, so we never store a password.
Financial data from QuickBooks Online. If a community's treasurer connects QuickBooks, Porchlight reads — and only reads — the community's chart of accounts, expenses, bills, deposits, journal entries and bank account balances, so the community's profit-and-loss view stays current. Porchlight never creates, edits or deletes anything in QuickBooks, never receives QuickBooks passwords, and does not store bank or card numbers. The connection uses Intuit's OAuth 2.0 authorization; the tokens Intuit issues are encrypted at rest and can be revoked by the treasurer at any time from QuickBooks or from Porchlight settings.
Messages. Email and text messages sent through Porchlight (dues notices, announcements, sign-in links, replies) and messages you send to hello@porchlightpoa.com are stored so boards and Porchlight support can see what was sent and answer you.
To run the community's operations as its board directs; to send the notices the board schedules; to show homeowners their own balance, bookings and community information; to keep an audit trail; to support and secure the service; and to comply with law. We do not sell personal information, and we do not use community data for advertising. Local-business sponsor listings a board chooses to enable are shown to that community's homeowners only and involve no sharing of homeowner data with sponsors.
We share information only with service providers that help us run Porchlight — Cloudflare (hosting, database, file storage, email routing), Resend (email delivery), Intuit (QuickBooks connection, only when a community connects it), and, when enabled, Twilio (text messages) and Stripe (payments). Each processes data under its own security commitments and only to provide its service to us. We disclose information when required by law or to protect the rights and safety of users and the public. If Porchlight is acquired, community data transfers with the service under this policy.
Data is encrypted in transit (TLS) and at rest. Every record is scoped to its community, and board members can only reach their own community's records. Integration credentials (such as QuickBooks tokens) are stored encrypted with keys that live only in our hosting environment. Access by Porchlight staff is limited to support and operations and is logged.
Community records are kept for as long as the community uses Porchlight, then deleted within 90 days of cancellation unless the board asks for an export first or law requires longer retention. Financial data mirrored from QuickBooks is deleted when the community disconnects QuickBooks or leaves Porchlight.
Homeowners can update their contact details in their portal or through their board. Boards can export or delete their community's records from Settings. Anyone can ask us to correct or delete personal information by emailing hello@porchlightpoa.com; we may need the board's confirmation for records the community controls. You can stop text messages by replying STOP and unsubscribe from non-essential email using the link in each message; notices the board is required to send (dues, meetings, votes) may still be delivered.
Porchlight is for adults managing and living in associations. We do not knowingly collect information from children under 13.
We will post any changes here and update the date above. Material changes will be announced to boards by email.
